Lettings Administrator - Farnborough - Hampshire

Our client a leading Property/Maintenance company based in Farnborough are set in fantastic newly furnished offices and offer excellent facilities including free parking, pension, health care, 25 Day's holiday, modern resturant.
Accountabilities
Dealing with all correspondence, telephone and e-mail enquiries in a prompt and professional manner and in line with department procedures.
Being aware of rental trends for each property and regularly reviewing rental levels with agents, market trends and comparables to enable the recommendation of changes to rent levels to SLM. This will include visits to site to familiarise the LA with the local area and rental trends as well as returning to sites where rental void periods are an issue.
Liaising as required with and between agents, tenants and contractors.
Being aware of any properties becoming available to rent by reaching the end of their current tenancy and deal with renewal or re-let in accordance with company policy and procedures.
All administration in respect of tenant/s deposits’ ensuring these are dealt with in line with company procedures and TDSRA (Tenancy Deposit Scheme for Regulated Agents) regulations.
Methodically setting up and working through a file from time first notified of availability to move in stage.
Booking inventories, check-ins, cleaning services and any other work according to lettings administration checklists and procedures. Negotiating and maintaining best prices with contractors (cleaners, inventory clerks) and raising Purchase Orders for authorisation.
Ensuring all procedural checklists and databases are accurately completed and up to date.
Creating tenancy agreements and all associated documents (including notices) reflecting accurate information for approval by ALM and SLM prior to submission to Agent or Tenant.
Liaising with maintenance department and communicating all applicable issues in relation to unit/s or development/s.
Covering for their administration group’s development where there is absence or staff members have leave. Absorbing workload and responsibility completely.
Production of accurate weekly statistic reporting via Lettings Admin Reporting for discussion with MLA.
Reporting of any problems or concerns to MLA.
Maintain and share with colleagues as appropriate, all personal knowledge of relevant property law and procedures.
Ensuring adherence to company policy and procedures at all times.
Ensuring lettings procedures run smoothly and being a proactive and enthusiastic member of the lettings department.
